Financial Planner

Downtown Chicago

Are you in the wealth management industry looking for a new path in your career to build ongoing client relationships with generations of family members? If yes, today is the day to make that change.

Our highly-regarded client is a well-established, multi-generational family office in Chicago. Our client is looking to add an experienced Financial Planner to the client service team. The individual hired into this newly-created position will work on all aspects of financial management, associated implications of private equity deal transactions, and related cash management activities of three family lines.

PRIMARY RESPONSIBILITIES:

  • Manage client relationships and provide financial advising services to family office clients.
  • Conduct quarterly meetings with family members, including reviewing a full net worth statement, cash flow projections, and investment purchase & sale information for individuals and entities.
  • Manage cash flows for multiple individuals and entities, and their corresponding investments.
    Participate in the estate planning process, including advising on existing and new entities/initiatives.
  • Assist with tax compliance and planning for individuals and trusts
  • Provide client follow up and other support to senior wealth advisors in the office.
  • Interact with external family advisors, including bankers, attorneys, accountants, and oversee family office analysts.

REQUIREMENTS:

  • BA/BS in Accounting or Finance preferred
    Certified Financial Planner (CFP) is a plus
  • Minimum of 4 years of direct financial or wealth advising experience, preferred experience of running client meetings independently.
  • Proficient computer skills, including well-versed in the use of Microsoft Excel

Executive Assistant to the President

Our client is a major Midwest foundation based in Chicago that supports efforts to improve the quality of life in the Great Lakes region, focusing on public policy changes related to education, work force development, environment, and gun violence prevention. The Philanthropic Foundation is seeking a seasoned Executive Assistant to provide administrative and scheduling support to the President.

RESPONSIBILITIES:

• Manage President’s calendar

• Oversee committee, board, and membership affiliations for the president

• Coordinate all travel arrangements for the President and board members as needed

• Schedule all-staff, program officer, and board-related meetings

• Maintain organization of files, contacts, and other materials

• Submit monthly expense reports

• Prepare and distribute meeting agendas and presentation materials

• Facilitate and manage correspondence including conference calls and mail with staff and others outside the foundation

• Organize and plan events—secure locations, track RSVPs, plan menu, prepare presentation equipment

• Track write-ups to be reviewed by the president

• Assist grants manager with proofreading and other tasks as needed

QUALIFICATIONS:

• 10+ years as executive assistant with strong administrative and technical capabilities

• Highly proficient in using Microsoft Word, Excel, and Outlook, with minimum typing speed of 80 words per minute

• Effective written and oral communicator

• Must be highly skilled in schedule organization and coordination

• Professional, friendly and confident, both in person and on the telephone

• Flexible and skilled multitasker • Confident, tactful, diplomatic, discrete, and trustworthy

Major Duties and Responsibilities:
Accounting
• Assist in financial analyses, general ledger, and special projects
• Carry out annual alternative investments due diligence in preparation for annual audit
• Review K-1s received from investment managers and enter information into software
database
• Review monthly reports from custodian of investments
• Prepare annual 1099 forms
• Prepare semi-monthly payroll and administer employee benefits

Grants Management
• Partner with Grants Manager on projects as needed

Human Resources
• Assist in new employee insurance enrollment; update policies for any salary or demographic
changes or life events
• Track 403b deductions and contributions to Fidelity

Knowledge, Skills and Abilities:
• Minimum of undergraduate degree with a CPA or equivalent experience
• 3-5 years of experience in a relevant position
• Strong accounting and analytical skills with attention to detail
• Knowledge of investment accounting and tax return prep; experience with Schedule K-1s
and UBIT a plus
• Knowledge of payroll tax returns and annual reporting requirements
• Experience with Microsoft Dynamics, Webex, Zoom or other webcast products a plus
• IT end-user support experience

Job Objective

Our client is a single family mid-sized office located in downtown Chicago. The office provides integrated wealth management and trust services for three-generation families.  The office is service oriented, highly professional and takes pride in being an innovator within the family office industry.

THE POSITION          

Associate Client Services will work collaboratively with the dynamic Client Services team with these key responsibilities:

  • Coordinate with various banks, investment managers and professional advisors
  • Confirm delivery instructions for third party foreign and domestic wires and charitable gift transfers
  • Process money movement transactions for clients and related entities
  • Gather data to update cash flow modeling
  • Assist with the tax compliance process
  • Update quarterly electronic tax payment spreadsheets for federal and state tax
  • Research, compile and analyze date to create reports on unique projects
  • Request and maintain client insurance summaries

THE INDIVIDUAL

Staff Accountant

This office provides a wide variety of services for the family members including financial planning, accounting, tax planning, investment oversight and a multitude of special projects. The office is dynamic with numerous complex structures and many ongoing initiatives that will make this position interesting and challenging.

THE POSITION 

The Staff Accountant provides a unique opportunity to learn about a niche industry and to gain skills in an area that will enhance personal and professional growth. Responsibilities are in the areas of accounting, AP and audit and include but aren’t limited to:

  • Using QuickBooks, maintain the general ledger for the family office entity
  • Processing monthly journal entries
  • Monitor cash activity and research discrepancies daily
  • Prepare quarterly financial statements and assist with providing explanation for variances in actual expenses and budget
  • Assist in the preparation of annual budget
  • Maintain fixed asset and depreciation records
  • Ensure all invoices have the necessary authorization and supporting documentation

  • Perform all quarterly and year-end functions including preparation of W-2s and Federal and state payroll tax returns

“THE RIGHT PERSON”

The ideal candidate will have a minimum of 1 to 3 years of accounting experience preferably from an audit background and someone who will take full ownership of the duties of this position. The individual must learn quickly and be flexible.  Desired skills and characteristics include: 

  • Bachelor’s degree in Accounting, CPA preferred
  • Strong fundamental accounting skills
  • Proficient with QuickBooks
  • Strong Excel knowledge
  • Sound aptitude for technology
  • Meticulous attention to detail
  • High level of organization
  • Excellent interpersonal and communication skills, both verbal and written
