ABOUT THE ORGANIZATION:
Our client is a leading Philanthropic Foundation based in the city of Chicago that supports efforts to elevate poetry to a more visible and influential position in society. This organization aims to shape a receptive climate for poetry by developing new audiences, creating new avenues for delivery, and encouraging new kinds of literature. Our client is seeking a seasoned Executive Assistant to the President. The organization offers competitive salaries, and provides equal employment opportunities to all applicants.

POSITION DESCRIPTION:
The Executive Assistant to the President position provides administrative and scheduling support to the President and Board of Directors of the organization.This role reports directly to the President and is responsible for establishing systems for and managing all administrative aspects of the President’s work.

KEY RESPONSIBILITIES AND DUTIES:
– Calendar management of both internal and external meetings with foundation functions and Board of Directors
– Assist with coordinating all staff meetings and drafting and providing materials
– Assistance with President’s oversight of direct reports
– Arrangement of meeting space, venue and/or restaurant selection, contract negotiation, technology and catering requirements
– Process discretionary grant requests
– Travel planning for the President
– Participate in full-staff planning and training, including the Foundation’s ongoing racial equity training.
– Maintain and track all President’s panel discussions and speaking engagements
– Creation, revision and typing of internal written communications and external general correspondence

KEY REQUIREMENTS:
– 7+ years of executive assistant experience with strong office management and technical capabilities
Must be highly skilled in schedule organization and coordination
– Effective written and oral communicator with a professional, friendly and confident, personality both in person and on the telephone
– Highly proficient in using Microsoft Word, Excel, and Google Suite; proficiency with typing (minimum typing speed of 50 words per minute)
– Flexible and skilled multi-tasker and ability to self-manage projects with excellent time management abilities, capable of meeting deadlines on time
